ALERTS Submission Form

The ALERTS are weekly co-op emails containing announcements and news submitted by Partners in both the MN Field Trip & Activity Library, and the MN Corporate Resource Library. As a Partner, you will receive the each of the following 5 emails (even if you don’t have an announcement in a particular email). Use these emails as patterns for your own announcements or news.

Partners publish the number of announcement(s) each month in the email ALERTS they have selected based on their Partner Program. Beginning in 2017 each Partner can publish their chosen number of announcement(s) in any the 5 niche market emails – each month. We encourage announcements to be customized per niche market. A Partner decides where each email announcement is published in every month. We call this unique “targeting opportunity” our Unlimited Monthly Rotation.

ADDITIONALLY: Every Partner email announcement in the ALERTS is also published as an individual blog post on our website (see the homepage location and other locations throughout the website) during the week following the email (such as the posts on the right side of this page). Then they are each archived in our Partner Blog. This action has given you both many more eyeballs, and it has significantly heightened our website’s overall SEO numbers!

There are 2 sections in each email ALERT where your information can be published:

  1. ANNOUNCEMENTS
    The section for ANNOUNCEMENTS contains specific information about a new or special program, upcoming event, opening of a production or exhibit, special pricing or packages you are offering. Includes one photo and landing page link is required (direct links to PDFs don’t work). If you have a PDF to download, you can offer it from your literature carousel located in our DOWNLOAD CENTER,or from your website’s landing page. As to timing, give planners plenty of prep time to get ready… this could be from a month in advance to 4-6 months. After the ALERT goes out, we move it to the Planner Blog on our website for archival, and also immediately after each email is sent out – and during the week following that email ALERT – we move 1-4 announcements a day onto our website home page (and also onto every Partner Webpage) until all announcements are displayed.
  2. NEWS
    NEWS submissions are informational in nature with the intent to generate “good will” for Partners (such as staff recognition, new location, new contact people, etc) – we do not use photos for news submissions, though a URL link to a landing page is required (usually a website… again, direct links to PDFs don’t work unless downloaded from your literature carousel or your website). And, yes, you can have a news item even if you have an announcement in the same email ALERT. Note that News transferred as a blog post on the website homepage, nor is it archived in the Planner Blog, like the Announcements.  You can have both a news item and an announcement simultaneously in the same email ALERT.

YOU NOW HAVE 5 EMAIL TYPES TO CHOOSE FROM…

You can send out different types of announcements every month. Which niche markets do you want to reach? How many announcements did you sign up to send out each month (per your Partner Program agreement)? Based on this number, you can pick from any of these 5 types. (If you picked 2 announcements per month, you can pick 2 of the 5 email types every month – and they can vary, or stay the same, every month.)

These are the 2 email types for STUDENTS & YOUTH:

  1. MN FIELD TRIP & ACTIVITY ALERTS

    This one is a general co-op email with primarily recreational content or fundraising opportunities. For planners of student/youth activities, field trips, assemblies, performances & fundraising – both outbound & on-site. Use this general email ALERT if you want to reach both educational and recreational planners – including youth organizations, scouts, churches, YMCAs, Park & Recreation Departments, Libraries, Community Education, afterschool & summer programs, etc.
  2. MN STUDENT EXPERIENCES

    Specifically for educators, schools and planners of curriculum-based, educational student activities and field trips in all areas of education (arts, music, history, social studies, etc) – both outbound & on-site. Use this if you want to focus on schools. Specifically for schools (public, private, charter, and specialty), educators, staff. This is the best email for homeschool co-ops, groups of homeschool families & individual homeschool families.

This is the email that targets SENIORS & ACTIVE ADULTS:

  1. MN SENIOR EXPERIENCES

    For planners of active adult and senior activities – both outbound (i.e. daytrips and occasional overnight travel) and inbound (i.e. performances, classes, entertainment, etc) – Use this if you want to reach senior centers, retirement organizations & communities, non-residential & residential facilities.

This is the email to use to reach TOUR OPERATORS & TRAVEL PLANNERS:

  1. MN GROUP TRAVEL ALERTS

    For tour planners in the leisure group travel market and the travel trade industry. These planners create casual or professional itineraries and content for leisure group travel (attractions, events and destinations). Use this if you want to reach tour operators, receptive operators, charter operators, travel agents, bank clubs, group leaders and travel clubs in MN, the immediate multi-state region, and North American professional travel planners who are interested in Minnesota attractions, events and destinations. Subscribers include senior/active adult leisure group traveler planners, and educators who plan or lead student travel groups – mostly high school and college age choirs, bands, sports and theatre, etc.

This email is for the CORPORATE, GOVERNMENT & ASSOCIATION buyer or staff person:

  1. MN CORPORATE RESOURCE ALERTS
    Reach out to 2 types of buyers in the same email.

    EVENT & MEETING PLANNERS
    Announcements & News for dedicated staff and independent planners who are always looking for new & unique event/meeting venues, event sites, and related support services (including catering, transportation, entertainment, speakers, etc) for staff meetings & retreats, team-building, annual events, celebrations, dinners, training programs, and much more!
    ACTIVITIES, EVENTS, SERVICES, AND SPECIAL OFFERS COMPANIES & THEIR EMPLOYEES 
    These announcements will be received by staff responsible for forwarding and/or coordinating employee benefit services and opportunities for employees & their families, employee groups, company retiree organizations, association members, and volunteers. Usually this would go to the HR person or department. Content can include customizable programs & special discounts you are offering to their employees. Your announcements can be for:
    – a group of employees and/or members (such as in a buy-out at a professional ballgame),
    – a special consideration for employees and their families on a more casual basis (such as showing your employee ID to get unique pricing),
    – a special program for the children or families of employees (such as birthday parties or bar/bat mitzvahs, etc), and even…
    – announcements for fundraising opportunities…

We send out these emails in the following sequence (once a month for each):

Week #1: MN Field Trip & Activity ALERTS (Tuesday)
Week #2: MN Senior Experiences  (Tuesday) • MN Corporate Resources (Thursday)
Week #3: MN Student Experiences (Tuesday)
Week #4: MN Group Travel ALERTS (Tuesday)
